What is a transcript?

A transcript is a copy of a student's permanent academic record at this University, duly certified by the Registrar and bearing the embossed seal of the University. A transcript is privileged information and is available only upon the written or online request and payment of the fee in effect at the time by the student.

We offer transcripts in hard copy format, and eTranscripts.

Note that a transcript reflects the current status of a student's record at the time it is issued. Students should ensure that any changes to the transcript (e.g., from an INC to a final grade) are recorded before ordering a transcript. Courses will not appear on the transcript before the last day to add a course for that term. See the Western Calendar for official dates.

*A full course (1.0 units; running September to April) normally consists of three lecture hours each week. Each full course is equivalent to six semester hours or nine quarter hours. How to Order a Transcript

To order an official transcript, log in to your Student Center and click the View and Order Documents tile and choose Order and Official Transcript and then Submit a New Request.
* Ensure you have read the posted Transcript Terms and Conditions prior to placing your order.

* If you order a Third Party Form to be sent with your transcript, this may delay processing as these items take longer to process.

* At this time, diplomas cannot be couriered together with transcripts.

Accessing your Student Center

If you do not know your Western Identity User ID please reach out to us via our Virtual Helpline or call us at 519-661-2100 and we will get you setup to order online.

Western Alumni prior to 1984

Students who attended prior to 1984 will be limited to hard copy transcripts ordered through PurplePay. If you graduated before 1984 you will need the name you attended Western under and your student number to complete the order. If you do not know your student number you can give us a call and we will help you retrieve it 519-661-2100.

Note: Due to Payment Card Industry requirements, we are unable to process any requests received via email.

Processing Times

Transcripts are typically processed once per business day. This does not include mailing times.

Check Your Order Status

Track your transcript order through your Student Center under theView and Order Documents tile > Order Official Transcript. You will be able to see the status of your order, when it was completed, and the courier tracking number (if you requested your transcript be sent via courier). If you do not have access to the Student Center, please reach out on Chat to confirm the status of your order.


Grading Scale/GPA Conversion


Western University does not issue a grade point or cumulative average for students. This includes on transcripts or in letters. Below is the information on averages and the OMSAS scale:

Grading Scale/GPA Conversion

Western currently uses a numeric grading scale on transcripts and academic records, and as a result, does not issue a grade point or cumulative average for students.

Details on this system can be found in the Academic Calendar.

The following is the grading scale for students in the Faculties of Arts and Humanities, Business, Education, Engineering, Health Sciences, Information and Media Studies, Schulich School of Medicine & Dentistry (BMSc program only), Music, Science, Social Science, and in the Affiliated University Colleges (Brescia, Huron and King's).

Note: Grades assigned for courses taken on a letter of permission at another institution follow the grading scale of The University of Western Ontario. Effective May 01, 2010, grades for undergraduate courses taken on exchange will be recorded as PAS+ (pass with distinction), PAS or FAI.

The Ontario Medical School Application Service (OMSAS) Undergraduate Grading System Conversion Table is used as a reference when grades are assigned. Please visit the OMSAS Website. When converting a letter grade to a percentage, the mid-point of the numerical range will be used. Western will assign grades for students who are not studying in a Canadian institution based on curriculum, grading practices, and grading scale interpretation.

To convert your Western average into a GPA using the Ontario Medical School Application Service (OMSAS) scale, please visit the OMSAS Website for the most up to date Undergraduate Grading System Conversion Table and calculate your overall average for courses taken in a particular year or degree or use your course final averages for individual courses as needed.

Failures

Any undergraduate courses in Arts, Science, Social Science, Kinesiology, Music, Health Science and Media, Information and Technoculture as well as the Affiliated Colleges, will be used in the assessment and average calculation of a general student's eligibility to progress and/or enter or remain in a program. Progression average calculations INCLUDE failed grades. All grades below 50% are considered failures. Grades below 40% will be included in average calculations as 40%, grades from 40% to 49% will be included as the actual grade reported.

Note: Engineering subjects have their own grading scheme. Any Engineering student Grade/mark questions should be directed to the Engineering Dean's office.

If you drop a course after the last day to drop deadline, which will vary according to the type of course in which you are enrolled, it will be recorded as F (failure) and you will receive a mark of 40% for Average Calculation purposes.

FAQs

When will my Fall/Winter courses print on a transcript?

Your enrolled courses for the current year will print on your transcript as of the last day to add courses in September.

What does “All decisions concerning academic progression mean”?

This statement will print on a transcript when the adjudication for the term has not yet been completed. Adjudication is a period of academic assessment to determine a student's eligibility for admission to, progression in, or graduation from requested degree and module choices.

I held my transcript for Fall grades, why has it not been processed?

Placing a hold for Fall grades is indicating that you do not want your transcript printed until the grades for that term are finalized. Once you see your Fall grades posted in your Student Center, your transcript order with a hold for Fall Grades will be processed.

I held my transcript for Spring Adjudication why has it not been processed?

Transcript orders with this hold will be processed once your adjudication is complete. Spring Adjudication can complete between June and early July each year.

How do I add a routing slip/attachment to my transcript order? (E.g. routing slips for AMCAS, OMSAS, AAMC)

When you place an order for a transcript there is an option to include an attachment. This only applies to hard copy requests (not available for eTranscripts). We will print the attachment you upload and send it with your transcripts. It is an additional $5 paid at the time of order.

I took courses on a Letter of Permission, will they be on my transcript?

Yes, courses taken on Letter of Permission while registered as a Western student will print in your transcript. These courses do not show under Grades but under Transfer Credits in Student Center.

How long will it take for my transcript to arrive?

Orders sent by regular mail are sent by Canada Post, with no tracking number. Orders sent by Courier are sent by FedEx and a tracking number will be added to your order. This can be used to track the delivery of your order.

Does your transcript matter? ›

Transcripts show proof of the rigor of courses taken (such as regular, honors, AP or IB) and the quality of work (the grades earned). Basically, colleges want to see that you did not view your senior year as a time to take it easy and lose steam. They expect to see a sustained level of rigor and quality.

What if I don't have transcripts? ›

It could hurt your job prospects. If your academic credentials cannot be verified, you could be disqualified from a job, depending on the employer. In some cases, you might not be allowed to sit for professional exams without a transcript. You won't be able to access new student loans.

How do I get around a hold on my transcript? ›

This might seem obvious, but often the easiest way to get the school to release your official transcripts is by simply paying the outstanding money you owe. If your school is withholding your transcript for something as small as an unpaid parking fine, this will be easier to do than if you owe a significant amount.

Will one bad grade ruin my transcript? ›

No, it will not affect your chance for admission, as Long as you show continual improvement for the next few years (assuming you are a freshman or a sophom*ore). If you are junior, then yes, as those classes are more indicative of college classes and the colleges will think you have plateaued.
